How to use the upload hub

You’ll have an email from us that includes your reference number, instructions for using the hub, and what documents you will need to upload.

To use the document upload hub:

  • click ‘Log on to the hub’ below
  • add your reference and a few details
  • upload your documents from your phone, tablet or computer (check our lists below to see what details you’ll need to include when scanning or taking a picture of each specific document)

Providing the right document in the right way
 

If you’re sending us a photo of your UK Irish passport, you’ll need to check it’s signed and up to date.

We’ll need to be able to see all the details on your uploaded documents clearly.

When taking a photo or scan of your documents make sure that the image is clear, legible and that nothing is blurred or covered. 

All 4 edges of your document can be seen in the image.

If you’re taking a photo, try putting the document on a dark surface.

Use plenty of natural lighting and take the photo directly above as possible.

If you’re sending us a photo of a passport that’s not UK or Irish, you’ll need to include your Visa right to remain document in the same photo.

If you’re sending back documents on behalf of a child and you’re sending your documents too, if the surname doesn’t match, you must send document that link the parent and child. Examples include long version of the birth certificate, an adoption certificate, a marriage certificate, a decree absolute, a deeded poll, statutory declaration, or civil partnership agreement.

Once you’ve taken the photo you need to send it to us. Here’s how to do that.

To use the document uploaded hub, click log on to the hub below. Add your reference and a few details. Upload your document from your phone, tablet, or computer. 

You’re all done.

We’ll contact you on the email address you’ve provided as soon as the documents have been reviewed.


Remember, we'll need to be able to see all the details on your uploaded documents clearly. When taking a photo or scan of your document, make sure that:

  • the image is clear, legible, and that no details are blurred or covered 
  • all 4 edges of your document are visible within the image

If you’re taking a photo, try placing the document on a dark surface, use plenty of natural lighting, and take the photo as directly above as possible.

If you’re acting as an executor or Power of Attorney, go to the hub and make sure you use your details.

Passport – UK/Irish (unexpired and signed) 

What to scan and send: 

  • Photo page including page above.
  • Reference details such as names (including additional name), date of birth, issue expiry date, etc

Passport – Non UK/Non Irish (with valid right to remain) 

What to scan and send: 

  • Please include the photo page of your passport and your  right to remain document (front and back if it’s a biometric residence permit) on one page and scan back to us.

Biometric residence permit (unexpired)

What to scan and send: 

  • Front and back of card (one picture or scan with both sides on one page).

National Identity Card/Citizen photocard (EU/EEA) (with valid right to remain) 

What to scan and send: 

  • Front and back of card (one picture or scan with both sides on one page).

Electoral ID Card issued by the Electoral Office for Northern Ireland 

What to scan and send: 

  • Front and back of the card (one picture or scan with both sides on one page).

UK photo card driving licence (the licence and photograph must be in date)

What to scan and send: 

  • Front of the card. 
  • It can be your full or provisional licence.

UK old-style paper driving licence (unexpired and not provisional)

What to scan and send: 

  • Photo of the full front page including expiry date.

Blue Badge disabled parking permit (unexpired)

What to scan and send:  

  • Front and back of the card on one page.

Notification of entitlement to UK Government or Local Authority pension or benefits

What to scan and send: 

  • Copies of all pages that include personal details.
  • The section with any relevant reference numbers.
  • The section which contains the date. 
  • The section with the amount awarded.

HMRC (HM Revenue & Customs) (coding/assessment/statement/tax credit document) 

What to scan and send: 

  • The page containing address, date of issue, reference numbers and National Insurance numbers.

Educational grant, loan, or bursary

What to scan and send: 

  • Copies of all pages that include personal details.
  • The section with any relevant reference numbers.
  • The section which contains the date.
  • The section with the amount award.

UK photocard driving licence (the licence and photograph must be in date) 

What to scan and send: 

  • Front of the card.
  • It can be your full or provisional licence.

UK old-style paper driving licence (unexpired and not provisional)

What to scan and send: 

  • Photo of the full front page including expiry date.

  • Document that may be addressed to a carer, parent, or attorney.
  • Copies of all pages that include personal details.

HMRC correspondence including name, address and permanent NI number 

What to scan and send: 

  • The page containing your residential address and date of issue.
  • Reference numbers and permanent National Insurance numbers.

Annual Council tax bill/demand letter 

What to scan and send: 

  • The page containing your residential address (postal and billing), date of issue, and reference numbers.

Bank, building society, credit card or credit union statement (excluding Santander)

What to scan and send: 

  • As a minimum, the front page of the document must contain your name, residential address, account details with sort code and account number, and details of transactions.

Mortgage statement (excluding Santander)

What to scan and send: 

  • Document that has your name, residential address, account details with sort code and account number, and details of transactions.

Utility bill (not a mobile phone or TV licence)

What to scan and send:

  • As a minimum, the front page of the document which includes your name, residential address, account details and/or reference numbers, and usage or connection charges for the utility/service.

Local council rent card or tenancy agreement (not private)

What to scan and send:

  • All pages of the agreement or rent card.

Letter from local Council/Authority confirming enrolment on the voters roll

What to scan and send: 

  • As a minimum, the front page of the document which includes your name, residential address, account details and/or reference numbers.

If the applicant is under 18 and can’t to provide a proof of identity document from the standard list, then we can accept one of the following documents listed below instead. Make sure you check the above standard list 1 first.

Young person’s PASS Card

Young Scot’s national entitlement card

What to scan and send: 

  • Front and back of the card on one page.

Birth certificate

What to scan and send: 

  • The whole document.

Adoption certificate

What to scan and send: 

  • The whole document.

NHS medical card

What to scan and send: 

  • The whole document.

List 2

Letter from school, college, employer, educational or care institution, including letters from Youth Offence Teams 

What to scan and send: 

  • The whole document that’s addressed to the bank or customer. 

Parents proof of address document from standard List 2 

What to scan and send:

  • Document linking parent and child. 
     

Child benefit or child tax credit documentation
